Feed a Headless CMS from Excel — Contentful, Strapi, Sanity

Headless CMS: powerful for devs, less obvious for content teams

A headless CMS — Contentful, Strapi, Sanity, Hygraph, Prismic — stores content as structured data accessible via API, without imposing a frontend. Dev teams love it: a single piece of content can feed a website, a mobile app, and a kiosk without duplication.

But for the teams that create content — marketing, editorial, translation — the reality is rougher. The headless CMS admin interface, however well designed, doesn't change the fundamental problem: if content arrives in an Excel file, someone has to enter it one by one into the CMS. Manually.

The content entry problem in headless CMS

The headless CMS has a powerful API — but using it to import content requires code. You need a developer to write the import script, test it, handle errors, permissions, and schema differences between environments (staging vs prod). Every content migration becomes a ticket in the backlog.

Native import tools exist on some platforms (Contentful has an import CLI, Strapi has JSON import/export), but they expect a precise format that never directly matches what the content team delivers in their Excel.

DataToForm with your headless CMS

DataToForm short-circuits this problem by going through where everyone can operate: the headless CMS web admin interface.

Contentful has app.contentful.com. Strapi has its admin at your-strapi.com/admin. Sanity Studio runs on your-project.sanity.studio. These interfaces expose forms in a browser. DataToForm can read and fill them.

You import your Excel, point DataToForm to the entry creation page of your headless CMS, log in to your account in the Chromium window. The AI inspects the form fields and suggests the mapping with your Excel columns. You validate. DataToForm pre-fills the form row by row. You review and save.

No script. No API to configure. No developer ticket.

That's what a universal contribution assistant means: a tool that can read any web administration interface — Contentful, Strapi, Sanity, or a custom CMS — and inject your data from Excel. Your content pipeline stays in Excel. The headless CMS stays headless. DataToForm bridges the gap.

How it works in practice

  1. Prepare your Excel with one row per content entry and one column per field: title, body, slug, meta_description, category, author, publish_date, etc. Column names don't need to match the CMS schema exactly — the AI makes the connection.
  2. Open DataToForm, import your file, paste the URL of the entry creation page of your headless CMS.
  3. Log in to your CMS space in the Chromium window. Your credentials never go through DataToForm.
  4. Validate the mapping suggested by the AI. If a CMS field uses a different name from your Excel (e.g. body_text in the CMS vs body in Excel), adjust it here.
  5. Pre-fill entry by entry. DataToForm fills the form. Review and click "Publish" or "Save as draft". Then next row.

Compatible headless CMS

  • Contentful — Content Model entries in the app.contentful.com interface
  • Strapi — Content Manager in the Strapi admin (text, number, select, relation fields)
  • Sanity — Sanity Studio (standard document fields: string, text, number, string arrays)
  • Hygraph (GraphCMS) — Content Editor in app.hygraph.com
  • Prismic — Document editor in your-repo.prismic.io/documents
  • Directus — Collections in the Directus Admin interface
  • Ghost — Posts and pages in Ghost Admin (Koenig editor)
  • Any custom headless CMS with a standard web admin interface

Known limitation: advanced rich text editors (Contentful's structured rich text with nested blocks, Sanity's Portable Text with custom components) may require more careful manual review — DataToForm fills visible text fields, not the underlying JSON structures.

Who it's for

  • Marketing and content teams at tech startups working with a headless CMS chosen by the devs, receiving content in Excel
  • Digital agencies migrating content from an old CMS to a headless one, or regularly feeding a client's CMS
  • SEO teams producing localized pages at volume and needing to integrate them quickly into Contentful or Strapi
  • Translators and localization teams who deliver translations and need to enter them in the CMS without a developer

If your content pipeline goes through Excel AND a headless CMS, and no one has written the script to bridge the two, DataToForm is the fastest solution to put in place.
